Tempus Realty Partners is Hiring an Executive Administrator Near Little Rock, AR

Job Description: The Executive Administrator is a full-time on-site role in Little Rock, AR reporting to the Office Manager and supporting various functions at Tempus.

Responsibilities:

  • Provides administrative support – reports to Office Manager
  • Process Mail – daily pickup up and sorting of mail; includes property information to asset management, submitting invoices for approval, and forwarding to Accounting
  • Shipping – prepares and drops off express delivery items and Tempus marketing merchandise to our partners
  • Luncheons – orders food, picks it up or arranges for delivery, sets up for serving lunch meetings if needed, and cleans up after lunch meeting is concluded
  • Stocking – orders office snacks and stocks kitchen supplies as needed; manages inventory of office materials, etc.
  • Office IT Contact – assists with ordering equipment for new hires, maintains office equipment list, helps team members troubleshoot technology needs, and implements company-wide software when needed
  • Reconcile monthly VISA bill – includes providing Accounting with GL coding, gathering receipts for backup to all expenses, and saving electronically
  • Book all team travel – includes booking airline, hotel, rental cars, dinner reservations, etc.
  • Scans documents for electronic files and uploads documents to the investor portal
  • Charitable donations – is a touchpoint for all charitable donations and keeps a detailed spreadsheet of company contributions
  • Company records – organizes closing transcripts for all property transactions, assists with opening asset/property bank accounts, and circulating bank documents for signature(s)
  • Plans monthly birthday celebrations
  • Assists other staff as needed
  • Performs other duties as assigned by the Office Manager
